We are seeking candidates for the position of Timekeeper Clerk-Fern Rock (7691) in the REE&M/REM Fern Rock Shops.    

  

 

OVERALL DESCRIPTION

Under general supervision of Superintendent Shops & Carhouses, MAINTAINS time and attendance records for all hourly and bi-weekly employees at Subway-Elevated Shop and Carhouse. MAINTAINS files on car defects, repairs to be made, equipment, etc. TYPES miscellaneous forms, reports, etc. RELAYS messages

SPECIFIC RESPONSIBILITIES

  1. RECEIVES time cards and POSTS details of straight time, overtime, premium time, accounts chargeable, etc. on time cards. ENTERS data on Time Record Sheet for office use for each employee, reasons for absence, etc. FORWARDS completed CAPES and VMIS printouts to management for review.
  2. PREPARES first day records for employees having temporary change in rate or classification, showing proper rate and reasons for change; NOTES rate changes on time card and Time Record Sheet. KEEPS daily record of move-ups for office use. ARRANGES for advance of vacation pay for hourly employees going on vacation.
  3. TYPES miscellaneous letters, forms, reports, correspondence, etc. as assigned by Superintendent.
  4. MAINTAINS inspection card filing and record keeping. ARRANGES for storage and destruction off site.
  5. ARRANGES for pickup and destruction of daily paperwork.
  6. MAINTAINS inventory of office supplies and forms. TYPES report of office supplies needed. SUBMITS orders to Director for approval. MAINTAINS supplies on hand for photocopies.
  7. MAINTAINS record of employees’ labor and meal allowances for work performed during inclement weather.
  8. MAINTAINS records of equipment assigned to employees.
  9. TYPES various departmental notices and forms such as seniority lists, window and picking sheets, etc.
  10. MAINTAINS files and CREATES spreadsheets and other forms to be used by management and shop/carhouse personnel.
  11. PREPARES Change of Status forms (3114s) to effect progression increases in accordance with Wage Rate Manuals, job changes, address changes, merit raises or other events necessitating submission of a Change of Status form.
  12. MAINTAINS confidential work records of District “A” and hourly employees.
  13. PREPARES and MAINTAINS various records and/or files pertaining to bi-weekly District personnel, including vacation and holiday time, etc. RECORDS sick leave.
  14. RECEIVES, POSTS uniform requests; PREPARES order forms and payroll deduction requests; CHECKS incoming materials. NOTIFIES supplier of discrepancies or cancellations. PROCESSES and SENDS forms to Accounting when material is received.
  15. ISSUES forms for benefit plan changes. COMPLETES designated items of form. RECEIVES, FORWARDS completed form. PREPARES safety shoe reimbursements.
  16. PREPARES payroll for District supervisory and clerical personnel. POSTS and VERIFIES hours worked, allowances, deviations. DETERMINES correct pay rate and APPLIES proper charge codes. PREPARES pay orders.
  17. PREPARES, TYPES expense vouchers as required.
  18. TYPES report of office supplies needed. SENDS to Chief Clerk for requisitioning.
  19. KEEPS record of employees’ labor and meal allowances for work performed during snowstorms. STAMPS, ISSUES, KEEPS record of employees free trip passes. ISSUES, KEEPS records of lockers assigned to employees, safety first equipment.
  20. PERFORMS other miscellaneous clerical and typing duties as required

QUALIFICATIONS AND EXPERIENCE

  • High School diploma or equivalent. Valid Driver’s License.
  • 3 years office clerical/payroll work experience.
  • Computer experience: Microsoft Office (Word, Access and Excel)
  • Knowledge of CAPES, SHARE, ASI and VMIS system operations.
  • EQUIPMENT USED: Personal Computer, Typewriter
  • PHYSICAL: Sitting, standing, moving about
  • WORKING CONDITIONS: Normal office environment
