OVERALL DESCRIPTION
The SharePoint Administrator is responsible for administering and optimizing enterprise use of SharePoint Online and OneDrive to enable secure, efficient, and compliant collaboration across the organization. This role plays a key part in shaping the digital workplace experience by managing platform configurations, enforcing governance policies, and ensuring alignment with data security, records management, and business continuity standards. Working closely with IT, cybersecurity, records management, and business stakeholders, the individual in this role ensures SharePoint and OneDrive are configured to meet operational needs, regulatory requirements, and long-term organizational goals.
SPECIFIC RESPONSIBILITIES
- Administers SharePoint Online and OneDrive to support collaboration, content management, and organizational productivity.
- Configures and maintains permissions, access controls, and sharing settings to ensure secure and compliant collaboration across SharePoint Online and OneDrive services.
- Develops and manages information architecture, including metadata, content types, and site structures, to promote efficient content organization and discovery.
- Applies and enforces data retention, sensitivity labeling, and classification policies in partnership with Records and Information Management and Cybersecurity teams.
- Monitors storage usage, quotas, and performance metrics to guide optimization efforts and ensure efficient use of SharePoint and OneDrive resources.
- Analyzes audit logs and usage data to identify trends, support strategic planning, and improve platform performance and compliance.
- Coordinates with infrastructure teams to align backup, disaster recovery, and business continuity planning with SharePoint and OneDrive services.
- Implements governance strategies for the creation, lifecycle, and disposition of SharePoint sites, SharePoint content, and OneDrive content.
- Manages integrations with approved third-party tools and services to enhance users' experiences and capabilities of SharePoint Online or OneDrive.
- Supports Data Loss Prevention (OLP), conditional access, and other cybersecurity initiatives by applying security configurations and monitoring enforcement.
- Provides expert guidance and training to users, department leaders, and IT colleagues on best practices when using SharePoint Online or OneDrive.
- Collaborates with internal stakeholders to align collaboration tools with evolving business requirements and IT standards.
- Promotes responsible data usage and reinforce adherence to governance frameworks across departments and user groups.
- Configures and manages storage and compliance policies to meet organizational standards and regulatory obligations.
- Evaluates emerging Microsoft 365 features and recommends updates to governance models, user policies, and platform configurations specific to SharePoint Online or OneDrive.
- Complies with all Authority and departmental safety and security policies and procedures as well as all applicable job safety responsibilities. Reports any safety concerns, compromises or hazards affecting operations, the public self and/or other employees. Responsible for personal safety and is encouraged to promote the safety of others.
- Performs other duties as assigned.
QUALIFICATIONS AND EXPERIENCE
- Bachelor's degree in information technology, Computer Science, or a related field is required. (An equivalent combination of education and experience-five years of relevant experience equating secondary education-may be considered.)
- Five (5) or more years of experience administering SharePoint Online, SharePoint 2019, or SharePoint Server Subscription Edition (SPSE) is required.
- Strong understanding of information security, data classification, lifecycle management, and retention policy enforcement is highly desirable.
- Strong expertise with Microsoft 365 compliance and data governance tools, including Microsoft Administrator Tools, DLP, and Compliance Center is required.
- Proficiency in PowerShell scripting for automation of administrative tasks and reporting is required.
- Solid analytical skills with the ability to interpret audit logs and usage data to guide decisions in required.
- Demonstrated collaboration with stakeholders such as record management, legal, infrastructure and cybersecurity teams in required.
- Experience working in the public sector or transportation environments is preferred.
