We are seeking to hire candidates for our Administrative Asst II (5063).

Job Grade: SAM 36

Salary Range: $57,512.00-$71,890.00       

OVERALL DESCRIPTION

Assists in the coordination of all administrative, secretarial and clerical functions for the Deputy Chief Operations Officer, his/her Direct reports, and the remainder of the department; actively participates in data collection and reporting of Key Performance Indicators.

SPECIFIC RESPONSIBILITIES

  1. Manages the daily administrative functions of the Control Center.
  2. Assists in the data entry and report generation to support trend analysis of SEPTA standards.
  3. Responsible for administrative tasks which include scheduling appointments, receiving and disseminating information, relieving manager of clerical and minor business details.
  4. Reads and routes incoming mail, oversee filing of correspondence and other records.
  5. Answer telephone inquiries requiring a thorough knowledge of SEPTA operations, policies and procedures; resolves minor policy issues and facilitates communication between Chief Officer and departmental staff and subordinates.
  6. Composes letters and correspondence as necessary.
  7. Maintains files and various correspondence logs.
  8. Compiles and generates various management and statistical reports requiring a high degree of judgment, responsibility, and confidentiality.
  9. Interfaces with various levels of management both inside and outside the Authority.
  10. Responsible for Control Center timekeeping which includes maintaining attendance records, inputting payroll into CAPES, inputting SHARE transactions; and preparing termination papers.
  11. Prepares and coordinates travel arrangements for staff.
  12. Performs other duties and assignments as directed 

QUALIFICATIONS AND EXPERIENCE

  • High School Diploma or equivalent, with a minimum eight (8) years of administrative/ secretarial experience in office procedures and reports required. An equivalent combination of education and experience (one (1) year of post-high-school education equating to two (2) years of relevant experience) may be considered in lieu of the above-mentioned requirements.
  • Prior to interview, candidate must pass current Administrative Assistant testing requirements established by the Testing Department (or have been previously qualified under prior testing standards).
  • Proficiency in Microsoft Outlook, Teams, Word, Excel, and PowerPoint required.
  • Demonstrated experience in working with highly confidential issues and material in a discreet manner is required.
  • Must possess excellent oral and written communication skills, including good spelling, grammar, and proofreading skills required.
  • Must possess good telephone skills with the ability to ascertain pertinent information and properly prioritize the importance required.
  • Must possess strong administrative and organizational skills required.
  • Ability to manage simultaneous responsibilities in a diverse demanding environment required.
  • Excellent interpersonal skills required to deal effectively with a wide range of individuals at all levels
